Recruitment & Selection Support:
● Assist in posting job vacancies, screening applicants, and coordinating interview schedules.
● Schedule, conduct, and document pre-screening interviews.
● Maintain recruitment trackers, applicant databases, and pipeline reports.
● Prepare and organize recruitment documents for interviews and evaluations.
Onboarding & Offboarding Assistance:
● Support the end-to-end onboarding process for interns and new hires.
● Prepare onboarding documents, orientation materials, and welcome briefings for new interns
● Assist in processing clearances, exit requirements, and feedback forms.
● Manage intern pre- and post-requirements submissions.
Intern Allowance Processing & Attendance Monitoring:
● Assist in coordinating monthly intern allowances and ensuring accurate submissions.
● Monitor daily time-in/time-out logs and encode DTR data for all interns.
● Maintain attendance records and verify completeness for HR reporting.
● Coordinate with supervisors for corrections, discrepancies, or missing logs.
Documentation & HR Administrative Tasks:
● Draft memorandums, announcements, and HR communication materials.
● Support the development of HR policies and the Strategic Human Resources Management
Manual.
● Organize and maintain both digital and physical HR files with accuracy.
● Assist in documentation management for interns and partnerships.
University Partnership & Placement Coordination:
● Support placement partnerships with schools and universities.
● Review and verify MOAs submitted by partner institutions.
● Identify clauses requiring clarification, edits, or administrative attention.
● Coordinate documentation and communication with partner schools.
● Serve as liaison between HR and external institutions for internship-related concerns.
HR Events & Engagement Support:
● Assist in planning and executing intern activities, job fairs, and events.
● Help prepare materials, attendance sheets, logistics, and documentation.
● Support communication with participants and partner organizations.
Database Management:
● Update HR databases, attendance sheets, intern records, and reports.
● Ensure accuracy, organization, and confidentiality of HR-related information.
● Organize and structure complex data files for easy reference and tracking
● At least 4th year of Bachelor's Degree in Human Resources, Psychology, or any related business courses
● Strong organizational and administrative skills with meticulous attention to detail ● Excellent communication and interpersonal abilities for engaging with staff and applicants ● Ability to handle confidential information with integrity and discretion ● Proficient in Microsoft Office and/or Google Workspace tools ● Capable of managing multiple tasks and meeting deadlines in a fast-paced environment ● Self-motivated, resourceful, and eager to contribute to HR initiatives
